Getting started
What does Rubyness do?
We help UK businesses assess, build, integrate and operate AI systems. Our work covers consulting, automation, custom AI applications, data engineering, evaluation and team adoption.
Where should we start with AI?
Choose a recurring task with a clear owner and a measurable problem. Bring examples of the current process, the systems involved and what a better result would look like. We can help turn that into a first scope.
Do we need a detailed technical brief?
No. A description of the problem and a few examples are enough for an initial conversation. Discovery can establish the data requirements, integration boundaries and acceptance criteria.
Is AI always the right solution?
No. Rules, integration or a simpler process may solve the problem more effectively. We compare those options before recommending custom AI.
Can you work with a small business?
We assess the workflow, expected value and implementation requirements. A focused recurring problem can be a sensible starting point; company size alone does not determine fit.
Cost & delivery
How much does AI implementation cost?
Cost depends on scope, data preparation, integrations, evaluation, review requirements and ongoing operation. We separate these drivers and agree a project-specific proposal after understanding the work.
How long does an implementation take?
Timing depends on the task, data access, system dependencies and release requirements. Discovery, a pilot and production rollout are different stages. We agree a plan for your project rather than promise one universal timeline.
What should an AI pilot prove?
It should test a defined workflow against a practical baseline and agreed quality criteria, including exceptions and failure cases. A convincing demonstration alone does not prove production readiness.
Can you improve an existing AI prototype?
Yes. We can assess its behaviour, architecture and operating requirements, then define the work needed to improve it or prepare it for release.
How do we measure the value of AI?
Track time, quality, rework, adoption and running cost for the complete workflow. Distinguish capacity released from cash actually saved, and compare similar work before and after the change.
Data & control
Can you connect AI to our current software?
We assess the APIs, connectors, data formats and permissions of your actual CRM, ERP, helpdesk or internal application. Integration feasibility is confirmed before scope is agreed.
Will our data train a public AI model?
That depends on the provider, product, settings and agreement. We document the intended data flows and review those terms with you before selecting the implementation.
Can an assistant respect existing permissions?
It should. Retrieval and actions need to follow the user’s access rights. We test permission boundaries with different roles and restricted examples.
Can people approve important actions?
Yes. We define which outputs are drafts, which actions need approval and which situations must be escalated. Review is part of the workflow design.
What if the AI gets an answer wrong?
Representative evaluations, source references, validation and fallback rules help manage the problem. The system needs a way to ask for clarification, stop or pass work to a person when appropriate.
Can we use our own cloud or a local model?
We assess deployment options against data requirements, model capability, hardware, latency and operating cost. The right choice depends on the use case and your existing environment.
Ownership & support
Who owns the code and project outputs?
Ownership, licences and usage rights are agreed in the contract. Third-party models and software may have separate terms, which should be explicit.
What happens after launch?
We agree who monitors quality, updates sources, handles incidents and approves changes. That can be your internal team after handover or an ongoing support arrangement.
Can you work alongside our developers?
Yes. We can take responsibility for a defined workstream, collaborate with your team or provide embedded specialists under an agreed delivery model.
Will you train our team?
Training and handover can be included in the engagement. We focus on the roles, tools and review practices people need for their daily work.
Can we start with tools we already pay for?
Yes. We consider extending or configuring existing platforms before building something custom. The choice should follow the workflow and integration needs.
What should we bring to the first conversation?
Describe the recurring task, who performs it, the tools involved, approximate volume and the result you want. You do not need to send confidential documents to start.
